Clerk's Office notifying advance ballot voters who may have received two ballots due to vendor error

The Douglas County Clerk’s office uses a third party vendor as its printer and inserter for mailing advance ballots. While processing one batch, some voters on the list were repeated, resulting in duplicate ballots being sent to some voters. There are processes in place which prevent two ballots being counted from the same voter, these measures include signature verification and an independent citizen advance board which audits the ballots received.

The Clerk’s office notified every voter in that batch, even those who may not have been duplicated. Each voter received a phone call, an email and a postcard to notify them that if they receive a second ballot, they should destroy it. The notification also outlined the procedures that are in place to prevent an individual from voting twice in the same election.  The Clerk’s office has worked with the vendor to improve internal controls to ensure this error will not happen again.
